Microsoft Outlook Features and Functions

Microsoft Outlook 2003 and 2007 both had a default maximum PST file size of 20 GB. Earlier versions (Outlook 97-2002) had a 2 GB limit. The 20 GB limit was a significant increase in capacity.

PST stands for Personal Storage Table, which is the file format used by Microsoft Outlook to store email messages, calendar items, and other data locally on your computer. It's the standard file extension for Outlook data files (.pst).

Plain text creates the smallest email message files because it contains only the raw text characters without any formatting information, markup tags, or embedded styling. RTF (Rich Text Format) includes formatting codes, HTML includes tags, and DHTML (Dynamic HTML) includes even more scripting and interactive elements.

The Bcc (Blind Carbon Copy) field allows you to send a message to multiple recipients while only showing one recipient's name in the TO field. Bcc recipients are hidden from each other, maintaining privacy when you need to email a group without exposing their email addresses.

In Outlook, to print a monthly calendar, you access Page Setup from the File menu while viewing your calendar and select Monthly Style. This is the standard method for configuring calendar print layout. Options A and C are inefficient workarounds.

Outlook supports configuring multiple Exchange accounts on a single client. You can add multiple Exchange accounts via Account Settings and access them simultaneously. This is standard functionality in modern Outlook versions.

The default AutoArchive setting for Sent Items in Outlook is 2 months. This means items older than 2 months in the Sent Items folder will be archived automatically unless you modify the setting. Other folders have different default ages (Inbox is 6 months, Deleted Items is 2 months, etc.).

Outlook allows you to change the composing message format between HTML, Plain Text, and Rich Text Format. You can set this per message or as a default for all new messages through Options > Mail > Compose in this message format.

You can search for contacts using the standard toolbar in Outlook. The search box appears above the contact list, or you can use Ctrl+E to activate search. This is basic Outlook functionality for finding contacts quickly.

Alt+F1 toggles the Navigation Pane in Outlook. This shows or hides the left pane containing Mail, Calendar, Contacts, and other folder views. The Navigation Pane is essential for moving between Outlook components.

Outlook Rules can automatically move messages to particular folders based on conditions you specify (sender, subject, keywords, etc.). This is a core feature for email organization and inbox management.

In Microsoft Outlook, calendars can be saved as web pages through the 'Save as Web Page' feature. The statement claims calendars cannot be saved, which is incorrect - you can export calendars to HTML format.

Ctrl+Q is the Outlook keyboard shortcut that marks the selected message as read. This is different from Ctrl+R (reply) or Ctrl+W (close), providing a quick way to manage message status without opening each item.

Outlook supports opening multiple PST files simultaneously through the File > Open > Outlook Data File option. Users can work with several archives or personal folders at the same time, making data management more flexible.
